Once the hiring team has completed the hiring process, the job status can be changed to Closed. Closing a job can be done by any user with permissions that is assigned to the hiring team. Once a job is closed, all remaining applicants will be rejected, and the job will move to the archive, where all information relative to that job is maintained indefinitely.
If the Hire or Reject Action has not been taken on any applicants in a position you close, any remaining "Active" applicants will be rejected at that time. It is advised to actively Hire and Reject applicants as you are processing on a regular basis to prevent them from being continually considered "Active" for the life of the position. If the Disposition Code setting is active, the user will be asked to select a disposition code for all remaining active applicants and to select the notification preference before closing the job.
Follow these steps to close and archive a job:
- Select the Jobs tab from the menu.
- Select the Job Title.
- Click the Job Status drop-down and select Close.
- If the Disposition Code setting is On:
- Select a disposition code from the list
- Elect if you want to send a rejection notification to all remaining applicants:
- If no, proceed to close the position
- If yes, choose the rejection message
- If the Disposition Code setting is Off:
- Elect if you want to send a rejection notification to all remaining applicants:
- If no, proceed to close the position
- If yes, choose the rejection message
- Elect if you want to send a rejection notification to all remaining applicants:
- If the Disposition Code setting is On:
- Confirm you'd like to Close Position or Send Email and Close Position.
Closing the position will update all impacted applicant files with entries in the stream, stage updates, and, if applicable, apply a disposition code and a copy of the rejection notification in the applicant messages tab.
Note: When applicants attempt to apply using a link to a job that is paused or closed, they will receive a notification the position is no longer active.
