To help with content management, folders are available in Question Sets to help you organize your library. When building or editing Job Templates or while posting jobs, the folders and subfolders you create will be visible when using the slider to import one or more Question Sets from the library. Folders, subfolders, and Question Sets will be sorted and presented in alphabetical order from A-Z.
Creating Question Set Folders
- From the menu, select Job Templates > Applicant Elements > Question Sets.
- To create a folder, click +Create and then click Folder.
- Enter a unique Folder Name.
- To organize Question Sets into folders, click the ⋮ menu for a question set, click Move to Folder, select a folder from the list, and click MOVE to confirm.
- To create subfolders, click the ⋮ menu for a folder, click Move to Folder, select a folder from the list, and click MOVE to confirm.
- To open a folder, double-click the folder name.
Working with Question Set Folders
Question set folders are your library of Question Sets that can be added to a job template. Click the ⋮ menu of an existing Question Set Folder to Rename, Move, or Delete. When changes are made, they will be updated for all permitted users and in all system locations.
Rename: Renaming a Question Set Folder changes the internal folder name.
- From the menu, select Job Templates > Applicant Elements > Question Sets.
- Click the ⋮ menu for that folder and then click Rename.
- Enter a unique Folder Name.
- Confirm you want to rename the folder by clicking SAVE.
Move: Moving a Question Set Folder helps organize question sets for system users.
- From the menu, select Job Templates > Applicant Elements > Question Sets.
- Click the ⋮ menu for that folder and then click Move to Folder.
- Select a folder from the list.
- Confirm you want to relocate the folder by clicking MOVE.
Delete: Deleting a Question Set Folder will remove the folder and all content within it from the hiring system. Use caution when deleting Question Set Folders, as the action will permanently remove the folder and all items within the folder including other folders and all question sets. The action of deleting a Question Set Folder with question sets will immediately remove the question set from all locations where it was used and cannot be reversed. It is recommended that you only delete Question Sets and Folders if they were never used in a job posting. For Question Sets you no longer intend to use, create an Archive folder to store them.
- From the menu, select Job Templates > Applicant Elements > Question Sets.
- Click the ⋮ menu for the Question Set Folder you want to delete and select Delete.
- Confirm you want to delete the folder and all contents, including subfolders and question sets, by clicking YES. (This action is permanent and cannot be reversed. If the folder contains Question Sets, they will be removed from all system locations including Jobs, Templates, and Files.)
