Notifications aim to streamline your hiring process and provide prompts towards taking action with your jobs and applicants. They can be emailed to system users and also provided on your hiring center dashboard within your ATS.

Applicant Message Notifications
A user can receive notifications by email each time an inbound applicant message is received if they are assigned as a member of the hiring team for that job. The emailed notification will include the content of the applicant message as well as any attachments. Applicant message notifications are a user preference setting that must be made by each user. By default, Applicant Message notifications for new users will be turned on.
Follow these steps to change your Applicant Messages notification:
- Click your user profile drop-down (upper right corner) and choose Profile.
- Select the Notifications tab.
- Select your Applicant Messages notification preference from the drop-down: Yes or No.
- Click Save.
Newest Applicants Notifications
A user can receive notifications by email each time a new applicant applies to a job if they are assigned as a member of the hiring team for that job. Newest applicants notifications are a user preference setting that must be made by each user. By default, applicant notifications for new users will be turned on.
Follow these steps to change your Newest Applicants notification:
- Click your user profile drop-down (upper right corner) and choose Profile.
- Select the Notifications tab.
- Select your Newest Applicants notification preference from the drop-down:
- Yes, for all jobs
- Yes, for selected jobs
- Proceed to select the individual jobs for which you'd like to receive notifications.
- No
- Click Save.
Part 2 Completion Notifications
A user can receive notifications by email each time an applicant has completed Part 2 of the job application if they are assigned as a member of the hiring team for that job. The emailed notification will include the job and a link to the applicant file. Part 2 Completion notifications are a user preference setting that must be made by each user. By default, Part 2 Completion notifications for new users will be turned on.
Follow these steps to change your Part 2 Completion notification:
- Click your user profile drop-down (upper right corner) and choose Profile.
- Select the Notifications tab.
- Select your Part 2 Completion notification preference from the drop-down: Yes or No.
- Click Save.
References Notifications
A user can receive notifications by email each time a reference has been received for an applicant if they are assigned as a member of the hiring team for that job. The emailed notification will include the job and a link to the applicant file. References notifications are a user preference setting that must be made by each user. By default, References notifications for new users will be turned off.
Follow these steps to change your References notification:
- Click your user profile drop-down (upper right corner) and choose Profile.
- Select the Notifications tab.
- Select your References notification preference from the drop-down: Yes or No.
- Click Save.
Messages
@mentions Notifications
The Applicant Tracking System lets you collaborate with other system users within applicant files. A user can receive @mentions if they are assigned as a member of the hiring team for that job or are a system administrator. The @mention feature can be used anywhere in an applicant file where there are comment areas, including individual applicant elements, stage workflows actions, or directly on the file's comment tab. By default, @mention email notifications for new users will be turned on.
Follow these steps to change your @mentions notifications:
- Click your user profile drop-down (upper right corner) and choose Profile.
- Select the Notification tab.
- Choose your @mentions notification preference from the drop-down: Yes or No.
- Click Save.
External Comments Notifications
The Applicant Tracking System lets you share an Applicant File with an external user for increased collaboration during the hiring process. A user can receive External Comments if they are assigned as a member of the hiring team for that job or are a system administrator. The emailed notification will include the content of the external comment as well as any attachments. By default, External Comments email notifications for new users will be turned on.
Follow these steps to change your External Comments notifications:
- Click your user profile drop-down (upper right corner) and choose Profile.
- Select the Notification tab.
- Choose your External Comments notification preference from the drop-down: Yes or No.
- Click Save.

Integration Updates
Background Checks Notifications
A user can receive notifications by email each time a candidate's background check has been completed if they are assigned as a member of the hiring team for that job. The emailed notification will include notice of the completion, however, the actual result of any search won't be in the email. To see results, users can review the Report Status in their Applicant File or log directly into the integrated background check partner Checkr or Info Cubic. This notification will not work for Compufact as that is a one-way integration only. Background Checks notifications are a user preference setting that must be made by each user. By default, Background Checks notifications for new users will be turned off.
Follow these steps to change your Background Checks notification:
- Click your user profile drop-down (upper right corner) and choose Profile.
- Select the Notifications tab.
- Select your Background Checks notification preference from the drop-down: Yes or No.
- Click Save.
System Notifications
Interview Confirmation Notifications
After an applicant has confirmed their interview slot, an interview confirmation notification will be emailed to both the user conducting the interview and the applicant. Each recipient can then add the interview event to their individual calendars. The attached calendar .ics file can be downloaded and imported to an existing calendar or, depending on the email client used, it may generate an "add to calendar" link directly in the email. This is a default system setting and can not be altered.
Dashboard Notifications
In addition to your emailed notifications, these events will also be displayed in your hiring center Dashboard.
Default System Notifications
Your hiring system will include default system notifications that will be sent automatically such as interview confirmation notifications.
Onboarding Notifications
If Onboarding is enabled in your hiring system, users will see the "Onboarding" section in the user Profile Notifications tab. These optional settings allow users to be notified when important onboarding events have been completed, eliminating the need to manually check the system for updates. Onboarding notifications are a user preference setting that must be made by each user. By default, the Onboarding notification for new users will be turned off. To receive Onboarding notifications, users must have permission to "Access Onboarding Files" and enable the notification in settings.
Onboarding Complete
A user can elect to receive notifications by email each time the status of a new Hire file in Onboarding is marked as complete. The emailed notification will include the date and time the file was marked as complete and contain a link to the new hire file. Follow these steps to change your Onboarding Complete notification:
- Click your user profile drop-down (upper right corner) and choose Profile.
- Select the Notifications tab.
- Select your Onboarding Complete notification preference from the drop-down: Yes or No.
- Click SAVE.
New Hire Completion
A user can elect to receive notifications by email when a New Hire has completed all required information in their Onboarding package. The emailed notification will include the date and time the new hire completed their required information and contain a link to the new hire file. Follow these steps to change your New Hire Completion notification:
- Click your user profile drop-down (upper right corner) and choose Profile.
- Select the Notifications tab.
- Select your New Hire Completion notification preference from the drop-down: Yes or No.
- Click SAVE.
New Hire Messages
A user can elect to receive notifications by email each time an inbound New Hire message is received by email or text, if they are assigned as a member of the hiring team for that job. The emailed notification will include the content of the New Hire message as well as any attachments. New Hire message notifications are a user preference setting that must be made by each user. By default, New Hire Message notifications for new users will be turned on. Follow these steps to change your New Hire Messages notification:
- Click your user profile drop-down (upper right corner) and choose Profile.
- Select the Notifications tab.
- Select your New Hire Messages notification preference from the drop-down: Yes or No.
- Click SAVE.
