KeldairHR provides each Applicant Tracking System with the option to use E-Verify from Verified First, a one-way integrated background screening service. After you register and activate Verified First and configure your hiring system you can initiate a background screen from within a job applicant's file, and the results can be viewed within Verified First.
Verified First Activation
When your Verified First account is set up, you can activate Verified First in your applicant tracking system.
- Select Marketplace from the menu then Background Checks.
- On the Verified First card, click Learn More.
- To activate this one-way integration, use the switch to toggle from Inactive to Active.
Follow the steps below to assign a background check step to your workflow and start using Verified First in your hiring process.
Using Verified First
Once activated, this service is ready to be added to one or more applicant processing workflows. After adding Verified First as a step in a workflow, it will be available for use in each applicant's file when processing the applicant using that workflow.
Assigning Verified First to a workflow
- Select Processing Elements from the menu.
- From the Workflow, click the ⋮ menu and select Edit.
- Insert a custom background check step:
- From the desired stage, click +Add Custom Step and then add a Step Name and Step Description.
- From the Select Action Type dropdown, click Use Integration, and click Verified First from the integration list.
- Click SAVE to add this custom step to the Stage.
- Rearrange the step order by dragging and dropping the steps within the Stage.
- To finalize the Workflow edits, click SAVE.
- The background screening step will now appear for use in all applicant files using that workflow.
Installing the Verified First Browser Extension
This is an extension-based integration. For this to work, users must have the Verified First browser extension, VF Connector, installed. Follow the steps outlined by Verified First to install the VF Connector to Chrome, Safari, Firefox, or Edge: https://verifiedfirst.com/vf-connector/
Processing an applicant's background check with Verified First
When processing a job applicant in a workflow that contains a Verified First background screening step, users with permission to "initiate background check" will be able to initiate the background screening from within an applicant file. After initiating the background screen, the job applicant receives a system-generated email request from Verified First with a link to provide the required information to complete an investigation.
- Open an Applicant File.
- From the Stages tab, click on the background check step name to move the applicant to this stage and initiate the process.
- If the VF Connector browser extension is not installed, follow the Verified First steps first and then proceed.
- From the background screen panel, click the purple Screen with Verified First button.
- If the Verified First button is not displayed, review the browser extension settings to click "Allow" such as this Chrome example to permit data access.
- If you are not logged into Verified First, click the Verified First LOGIN and follow the system prompts to enter your Verified First credentials.

- Return to the Stages panel by clicking the X in the upper right corner to close the VF Connector menu.
- When you are logged into Verified First, initiate the screening request by clicking the Screen with Verified First button and selecting Place New Order to launch the VF Connector for package selection, etc.
- Select the Background Screening products: IDENTITY (Social Security Address Trace) or CRIMINAL DATABASES (Nationwide Criminal Database)
- Review the data fields brought over from the Applicant File to the VF Connector and update required fields that may be missing information.
- Select one of two options to send the screening invite directly to the applicant or choose to enter the required information yourself:
- Send a link to the applicant with instructions to complete the remaining necessary information by clicking SEND INVITE.
- Select one of two ordering options after the applicant completes the requested information:
- I want the report to be auto-ordered as soon as the individual completes the invite.
- I want to review data entered by the individual and manually order the report.
(You will be notified via email.)
- Click NEXT.
- Confirm the preferred method(s), EMAIL and/or SMS PHONE NUMBER, you would like to use to send the invitation.
- Review the certification disclosure, if approved, add a checkmark, and click SEND.
- If selected, the applicant will receive an email with Background Questionnaire Notification in the subject and a link

They can elect to Refuse the Background Check and also Stop Receiving Reminders on this File.
- Select one of two ordering options after the applicant completes the requested information:
- To enter the information yourself select NEXT. and fill out the required fields.

Click OKAY to proceed with the order or click CANCEL to cancel out of this order and return to the dashboard.
- Review the Order summary including the Applicant Information, Search Purpose, Package Name, Products Ordered, Cost Code, and a text box to enter additional Order Comments. Click NEXT to proceed.
- Review the certification disclosure, if approved, add a checkmark, and optionally upload Disclosure and Authorization Form(s) by using the SELECT A FILE button. Click SUBMIT ORDER to authorize the background screen.

- Send a link to the applicant with instructions to complete the remaining necessary information by clicking SEND INVITE.
- After the screening invite has been sent to the applicant or completed by a member of the hiring team an entry will be made in the Stream, the Step name will show as in-process with an orange checkmark.
- Verified First will perform the screen per the selected package and an email confirmation will be sent to the submitter upon completion.
- Results are not transmitted back to the Applicant File, however, they are easily accessible with the VF Connector. Clicking on the Step name in an Applicant File will display the Verified First button indicating the current status of the screen: Waiting on Applicant, Report Pending, etc.
- Clicking the Verified First button will provide a list of system actions in the dropdown: View Report, Resend Invite, Withdraw Invite, Place New Order, Open Menu.
When the results are received, a member of the hiring team can update the Applicant File in the Comments section and proceed with the hiring processes.
Deactivating Verified First
If Verified First is deactivated, applicants with background screens in progress will be completed. Your existing background check notes within the Applicant File will be retained in each Applicant File by KeldairHR in case you would like to reactivate it in the future.
Follow these steps to deactivate Verified First:
- Select Marketplace from the menu then Background Checks.
- On the Verified First card, click Learn More.
- Use the switch to toggle from Active to Inactive.
- Confirm by selecting, YES, TURN THIS INTEGRATION OFF.
- A success notification will confirm the deactivation of Verified First background screening.
Note: Deactivating Verified First from the KeldairHR Marketplace will not automatically remove related steps from existing Workflows. They will need to be updated separately.
