Connect with your applicants using the in-system Applicant Call. At the top of each Applicant File there are communication shortcuts including the phone icon. When enabled, clicking the phone icon will open a window to call the applicant from directly within the Keldair ATS system and initiate a phone call to the applicant. The call will be recorded with the applicant being notified upon accepting the call. A full transcription with time stamps will be made available after the call is finished. Applicant Call is seamlessly integrated into phone screen interviews allowing users to perform a phone screen directly from within the system.
Activating Applicant Call
KeldairHR is currently hosting a Beta test of Applicant Call before making it available to all customers. If interested in participating, reach out to your Account Manager or submit a support ticket. If accepted into the Beta test, there is a formal 3rd party verification process that takes 1-2 weeks to complete before applicant call can be enabled.
Using Applicant Call
- Open an Applicant File and click the phone icon on the left side of the applicant profile section.
- From the pop-up window, click Call to initiate contact via phone.
- From first dial to call completion, the Duration of each call will be logged.
- When finished, click End Call to hang up.
- Optionally, add notes in the Comments field.
- Click Save to confirm and entirely close out the Applicant Call.
Applicant Call FAQs
1. Can I choose my phone number?
You can choose your preferred area code, but selecting a specific phone number is not possible. In rare cases where no numbers are available in your chosen area code, we’ll contact you to select an alternative.
2. How soon can I start using Applicant Call?
After completing the registration form, we’ll process your information through the phone number provisioning network. This third-party system verifies your company and contact details to ensure appropriate, non-marketing use of the service. Verification generally takes 3–10 days.
3. How will I know my number is verified?
We’ll notify you once your number is verified or if any issues arise during the process.
4. How many people can use the number?
Since this is an internet-based number, multiple users can make calls simultaneously. All outbound Applicant Calls will use the same number to place calls.
5. What will applicants see when they receive an Applicant Call?
Applicants will see an incoming call from your verified number. It may take some time after verification for Caller ID to display your organization’s name.
6. What if an applicant calls back the Applicant Call number?
If applicants call back, they’ll hear a message letting them know this number doesn’t accept inbound calls. Based on the information you provided, the message can also direct them to your organization’s main contact number.
7. How does call recording work?
When an applicant answers, they’ll hear a disclaimer that the call may be recorded. If they prefer not to have the call recorded, they can end the call. Completed calls are saved to the Applicant File, where you can listen to the recording or view the transcription by speaker.
8. How does the transcription work?
Magic. Well, kind of magic. The audio file is run through our Machine Learning suite that produces the transcribed file. This generally happens within a few minutes of the call being complete.
9. How long can an Applicant Call be?
Each Applicant Call can last up to 60 minutes.
10. What if a call cannot be completed?
The system will track each call’s status (completed, unanswered, or failed). If a call fails, and you believe the applicant’s number may be incorrect, you can update it in the applicant’s file once you have the correct number.
