There are times a hire decision needs to be rescinded in your hiring system. This may be due to an error in processing, a change prior to the new hire starting work, or various other reasons.
Once an applicant is hired, the "HIRE" button on the Stages tab of the Applicant File will turn to "UNDO HIRE." If a user has permission to Hire applicants, they also have permission to reverse the decision. If they do not, an alert will notify the user that they are unable to do so.
Follow these steps to undo a hire:
- Open any Applicant File with the current stage of Hired.
- Scroll to the bottom of the Stages tab and click UNDO HIRE.
- Use the Move to Stage drop-down to select the stage to which the applicant should return.
- Reverse the hire decision without notifying the applicant by clicking Undo Hire without sending email. The candidate will not be aware of any change in their application status, and they will not receive a notification.
- To notify the applicant you are rescinding the hire, you can send an email from the Applicant Message tab in their Applicant File.
- Document the reason for reversing your hiring decision by adding detailed notes in the comments tab of the applicant file and/or by including an attachment.
- Once complete, a Stream entry will record the user and details of the stage change and the Applicant Message or comments, if they are made.
When system users undo a hire, the applicant's data will be changed throughout the system by reverting the applicant to the selected Stage and updating their status in applicant lists, Talent, Reports, and the Home tab. System reports may take additional time to reflect the changes. The applicant is then ready for additional processing. If you are immediately following up the Undo Hire with a rejection, you can apply a Disposition Code, if turned on, to reflect the change from hire to rejection.
At the time of Hiring an applicant in your system, a New Hire File is created for each candidate in Onboarding. When the Undo Hire button is utilized, the New Hire File will be displayed in the Onboarding Queue with a strikethrough font and have a status of Unhired. Any forms that were filled out by the new hire before the Undo Hire action was taken will be visible only until the candidate is rehired in the future (if applicable), at which time, their New Hire File will be reset.
