After a candidate has submitted their application, a confirmation receipt will be emailed with a default subject of "##instance-name## Job Application Confirmation". The hiring system will simultaneously timestamp the receipt of the application and mark it as "Received" and log the confirmation email in the Stream of the newly created Applicant File.
The message template library contains pre-populated templates sent to applicants during the hiring process. When creating job workflows, message templates are assigned to individual workflow stages and steps. Editing a message template is a good option if there are changes that you would like to apply to all future uses of this existing template. While editing, you can change the internal message name, subject line, body text, or CC/BCC fields as needed. The "Application Submission Confirmation" message can be edited by following these steps:
- Select the Message Templates tab from the main menu.
- Click on the Received folder.
- Open the email by clicking on the message name or by clicking the ⋮ menu of an existing message and selecting Edit.
- Make updates as needed:
- Enter an internal Message Name.
- Enter a Subject that will be visible to applicants.
- Use the text editor to update the Body of the message template.
- To insert system-generated information use the Tokens drop-down to include content fields. See the message template token list below for detailed information on available tokens.
- The CC and BCC are optional fields that allow you to include one or more email addresses using commas to separate each recipient. The recipients will then receive the email any time that message is sent from your hiring system.
- Check the box to Allow Replies.
- Click Add Attachment to include one or more files to be attached to the submission email.
- When finished, click Save.
