Indeed is the largest source of applicant traffic for most KeldairHR customers, and our partnership with Indeed is one of the most important integrations in our platform. As Indeed's policies and products evolve, customers occasionally ask us what's changing, what it means for their job visibility, and whether they need to take any action. This article is our plain-language answer to those questions. We're also investing in new capabilities (an Indeed posting status indicator, a Job Posting Coach, and in-ATS sponsorship management) to help you get more out of your Indeed integration. See "What we're building next" below for details.
The short version
If you post your jobs through KeldairHR, your jobs are reaching Indeed in the format Indeed favors for organic (free) visibility. You don't need to change anything to maintain that. Our partnership with Indeed is current, healthy, and at one of the highest tiers Indeed offers to ATS providers.
If an Indeed sales representative contacts you about sponsoring jobs, that's a normal commercial conversation and a decision you own. This article gives you the context to evaluate it on your own terms.
How your KeldairHR jobs reach Indeed
When you post a job in KeldairHR, that job is sent to Indeed through Indeed's Job Sync API. This is the integration method Indeed prefers for ATS partners, and it's how Indeed receives the most accurate, up-to-date job data from us. Your job appears on Indeed's site, gets indexed by their search, and becomes discoverable to job seekers searching Indeed.
KeldairHR is a certified Indeed Gold ATS Partnerš„. You can verify this on Indeed's published ATS Partners page. Gold status means we meet Indeed's published technical requirements (Job Sync API, Indeed Apply Sync with screener questions and EEO support, Disposition Sync, salary and location fields) and we maintain the adoption thresholds Indeed sets for tiered partners. In practical terms, it means our integration is one of the most complete in the industry, and Indeed treats jobs flowing through KeldairHR as a trusted source.
Organic visibility and Indeed's "single source" approach
Indeed's stated policy is that a given organization's jobs receive organic visibility from one source. For KeldairHR customers, that source is your ATS, which is what Indeed wants it to be. Your jobs are indexed automatically when you post them in KeldairHR, and they remain eligible for organic visibility on Indeed without any additional action on your part.
A point that occasionally causes confusion: if your organization also posts jobs directly on Indeed (through Indeed's employer interface), those directly-posted jobs are treated as a separate source. Under Indeed's current approach, that creates a conflict; the same organization can't claim organic visibility through two sources at the same time. The cleanest path is to manage your jobs in one place. For KeldairHR customers, that place is KeldairHR.
If you have team members who currently post directly on Indeed in addition to KeldairHR, the simplest fix is to move that posting activity into KeldairHR. Your account manager can help you think through the transition if needed.
Keeping your jobs active on Indeed
One pattern we see consistently: jobs that sit unchanged for a long time tend to lose visibility on Indeed over time, while jobs that are actively managed maintain stronger visibility. Indeed's algorithm favors fresh, well-managed job postings, and a job that hasn't been touched in months will generally rank lower in search results than an actively-managed posting for the same role, and may eventually stop showing in Indeed search results altogether.
The good news is that active management is also good hiring practice, and there are several things you can do to keep your jobs healthy on Indeed:
- Update postings when something genuinely changes. Salary, location, schedule, required qualifications, scope of the role. Real updates signal to Indeed that the posting is current and that the employer is engaged with it.
- Process applicants promptly. When you review applicants, advance them through stages, and disposition them in KeldairHR (hired, rejected, etc.), that activity flows back to Indeed through our Disposition Sync integration. Indeed uses these signals to gauge whether an employer is actively hiring for a role, and active employers are favored in search.
- Keep job content complete and accurate. Jobs with full descriptions, accurate locations, salary ranges, and clearly defined requirements tend to perform better than thin or outdated postings. If a posting was written quickly months ago, it's worth a second look.
- Close jobs you're no longer hiring for. Keeping closed or paused roles cleaned up improves the signal quality of your active jobs and makes it easier for both Indeed and your team to focus on what's currently being recruited.
The Indeed posting status indicator we're rolling out (see "What we're building next" below) will give you visibility into how Indeed is treating each of your jobs, so you can identify the ones that need attention without guessing.
Indeed Apply and why it matters
Indeed Apply is the feature that lets a job seeker apply to your job using their Indeed profile, without leaving the Indeed site. Applicants who use Indeed Apply complete applications at a meaningfully higher rate than applicants who get redirected elsewhere to apply.
KeldairHR has Indeed Apply Sync fully enabled, including screener questions, EEO fields, salary, and location. When an applicant submits through Indeed Apply, their application flows directly into your KeldairHR applicant queue, with no manual import needed on your side. This is part of why our integration has earned Gold status, and it's a meaningful contributor to applicant volume for most customers. Applicant flow: what's in our control, what's in Indeed's, and what isn't in anyone's
Applicant volume is influenced by three things: 1) how well your jobs are reaching the platforms that matter (this is what we control); 2) how those platforms distribute and rank your jobs (this is what Indeed and other channels control); and 3) the broader labor market, meaning how many people are looking for work in your geography and industry at this moment (which neither of us controls).
If you're seeing softer applicant flow than you saw a year ago, it's worth checking all three. We make sure your jobs are syncing to Indeed accurately and in the format Indeed favors; that's our part. The new Indeed posting status indicator we're rolling out (see below) gives you direct visibility into how Indeed sees each of your jobs.
Sponsoring jobs on Indeed
Indeed offers sponsorship as a paid product. A sponsored job receives additional placement and visibility above and beyond what an organic listing receives. Sponsorship is a commercial decision, separate from your KeldairHR subscription, and one you make directly with Indeed.
There are situations where sponsorship can be worth considering:
- Hard-to-fill roles where the candidate pool is small (specialized skills, narrow geography, niche industries)
- Time-sensitive hires where you need applicant volume quickly and can't wait for organic discovery
- High-volume hiring where even a small per-application lift compounds across many openings
- Markets with low applicant supply where organic listings struggle to surface enough qualified candidates
There are also situations where sponsorship is less likely to pay off, for instance, common roles in markets with strong applicant supply, where your organic listing is already attracting enough qualified candidates.
The right answer depends on your role, your market, your hiring timeline, and your budget. KeldairHR doesn't take a position on whether you should sponsor; we encourage you to evaluate it based on your own results. If an Indeed representative contacts you about sponsorship, that's a normal commercial conversation, and you should feel free to make whatever decision is right for your organization.
What we're building next
We've heard from customers that more visibility into how Indeed treats each individual job would be useful, and we're investing in several capabilities that work together to help you get more out of your Indeed integration.
Indeed posting status indicator. We're rolling out a status indicator on the Job Detail page in KeldairHR. For each job, you'll see whether Indeed is showing it as Live, Expired, Sponsor Needed, or Update Needed, with a direct link to the job on Indeed's side. This gives you a real-time read on your Indeed visibility without leaving KeldairHR. Watch for the in-app announcement when it ships.
Job Posting Coach. As you build a job in KeldairHR, the Job Posting Coach will give you feedback on your posting and flag things that tend to help or hurt applicant response. Guidance is based on the patterns we see across our customer base, and tuned to the kind of applicants you're trying to attract. The goal is practical, actionable feedback you can use to write a stronger posting before it goes live.
In-ATS Indeed sponsorship. Indeed has indicated that an integration allowing job sponsorship directly from inside the ATS is coming in the months ahead. When that integration is available, we'll add it to KeldairHR so you can manage sponsorship decisions in the same place you manage your jobs, without bouncing between systems.
