Hiring Applicants can be performed by any Account Administrator or User assigned the "Applicant Tracking and Processing" permission to "Offer/Hire" applicants. Once you decide to hire an applicant, you can proceed based on your defined hiring procedures. To offer the most flexibility, your applicant tracking system provides three options for processing the hire:
Initiate a Job Offer
Before hiring an applicant, you may want to go through the process to extend an official job offer. Follow this link for more information on how to initiate a job offer.
Hire an Applicant
For consistency, when hiring applicants for the same job, the hire email will be identical, as it was assigned to the job's workflow when the posting was created. To hire an applicant, click Hire from an applicant file, use the panel to review the email content, and then click Send.
Note: The offer and hiring notification templates are created and stored in the message templates library. If you make changes to the email when hiring an applicant, it will not alter the standard template for other candidates. The changes will only apply for that specific applicant.
Following the hire:
- Add or review any notes associated with the applicant's hire by clicking the Comments tab.
- Elect to keep the job open or manually change the Job Status to Close.
Hire an Applicant (without sending email)
The "Hired without sending email" option can be used if your hiring process includes calling the applicant to say they are hired first as opposed to sending an email.
- Click “Hired without sending email” from the Applicant File.
- Add or review any notes associated with the applicant's hire by clicking the Comments tab.
- Elect to keep the job open or manually change the Job Status to Close.
Tip: If the New Hire Data Export & Onboarding module has been configured, then when you hire an applicant, a New Hire File is added to the Onboarding section of the system automatically.
