There are times a rejection decision needs to be rescinded in your hiring system. This may be due to an error in processing, such as a mistaken inclusion in a bulk Rejection, or various other reasons.
Once an applicant is rejected, the "Reject" button on the Stages tab of the Applicant File will turn to "Undo Rejection." If a user has permission to Reject applicants, they also have permission to reverse the decision. If they do not, an alert will notify the user that they are unable to do so. At the time of reversing the rejection, you’ll be given the option to send the applicant an Undo Rejection email or process the reversal without sending an email.
Follow these steps to undo a rejection:
- Open any Applicant File in the current stage of Reject.
- Scroll to the bottom of the Stages tab and click Undo Rejection.
- Use the drop-down to Select Stage to which the reverted applicant should return.
- Choose to Undo Reject with or without notifying the applicant:
- Undo Reject and notify the applicant.
- Choose an available Message Template from the drop-down.
- Review the subject and body of the selected message template.
- To include one or more supporting documents, use the Add Attachment button.
- Click Send to email the rejection notification to the candidate.
- Undo Reject without notifying the applicant.
- Reverse the rejection without notifying the applicant by clicking Undo Rejection without sending email. The candidate will not be aware of any change in their application status, and they will not receive a notification.
- Undo Reject and notify the applicant.
- Once complete, a Stream entry will record the user and details of the action.
When system users undo the rejection, the applicant's data will be restored throughout the system accordingly by reverting the applicant to the selected Stage and updating their status in applicant lists, Talent, Reports, and the Home tab. System reports may take additional time to reflect the changes.
Note: The rejection notification template is created and stored in the message templates library. If you make changes to the email when reversing an applicant's rejection, it will not alter the standard template. The changes will apply for that specific applicant only.
