KeldairHR provides the option to integrate with ADP Workforce Now® in order to automate the transfer of new-hire data from the KeldairHR hiring system to your ADP Payroll account. This eliminates manual entries, saves time, and increases overall efficiency. After you activate ADP Workforce Now® in your hiring system, the ADP Marketplace users with hiring permissions can securely send new hire information directly to ADP from within a job applicant's file.

Getting started with ADP Workforce Now®
After logging in to your KeldairHR account, select Marketplace > Payroll from the menu. Click Learn More on the ADP Workforce Now® card to read about this integration and the ADP Workforce Now® pricing designed to fit your hiring needs.
Connect and Authorize your ADP Workforce Now® Account
If you are an existing ADP Workforce Now® client, your activation of this integration is instantaneous after completing the entire activation process. The moment you authorize the integration, it’s directly connected to your ADP Workforce Now payroll account and ready for use. Depending on your ADP settings, additional steps may be required within ADP to activate templates and assign users.
If you are not an ADP Customer and want to find the right Workforce Now package that works for your organization, you can do so by viewing ADP Workforce Now® packages.
Follow these steps to connect your existing ADP Workforce Now® account to KeldairHR:
- From KeldairHR Marketplace > Payroll > ADP Workforce Now, follow the direct link in the Get Started section to the KeldairHR Data Connector for ADP Workforce Now® or search for KeldairHR in the ADP Marketplace.
- Log in to the ADP Marketplace using your ADP credentials.
- Click Buy Now and follow the ADP system prompts to purchase the KeldairHR Data Connector.
- On the Product Settings step, enter the KeldairHR Activation Code.
- In a new window, open the KeldairHR Marketplace > Payroll > ADP Workforce Now.
- Click SEE ACTIVATION CODE.
- Click COPY THE CODE.
- Return to the ADP Marketplace, paste the code you copied, and click Check.
- Click CONTINUE to review the order details and then click PLACE ORDER.
- After your order is complete, click the SIGN INTO ADP Workforce Now button and log in with your ADP Workforce Now® credentials.
- Click Authorize to authorize your hiring system connection to your ADP Workforce Now® account.
- Go to MyApps in your ADP account, click the KeldairHR icon, and it will log you into KeldairHR or it may ask you for your KeldairHR credentials.
- Additional consent needs to be granted from within your ADP Marketplace to authorize KeldairHR information to communicate back and forth. From the ADP consent manager, click Allow.
- To confirm, click Allow again, and the ADP Marketplace will now list the KeldairHR integration as Active.
- The integration is ready for use, however, additional steps of reviewing and activating ADP templates and assigning users may be required directly from within your ADP system.
ADP Workforce Now® Payment & Authorization
When you are notified by ADP Workforce Now® to confirm the purchase and authorization of the KeldairHR Data Connector, it will be activated automatically in your applicant tracking system. To confirm the activation, select Marketplace from the KeldairHR menu and then Payroll. If integrated successfully, the switch in the upper right corner of the ADP Workforce Now® card will be turned on and set to Active.
ADP Template Activation
1. Review the status of each New Hire Template from the WFN Practitioner Navigation by clicking Setup.
2. From the Template Management section, click Hire/Rehire.
3. Activated templates with a status of "Yes" will be ready for use with the integration. To activate a template, click Yes.
4. When finished, click Confirm Selections and then click Done to update the template status.
ADP Marketplace Data Connector User Assignment
1. To Assign User profiles, review the configuration from the WFN Practitioner Navigation by clicking Setup.
2. From the Template Management section, click Hire/Rehire.
3. Open a template from the list and then click the Assign Users tab.
5. Check the box for the Profile for system users established by Marketplace Data Connector applications to enable users in selected profiles.
6. To confirm the user for your data connector application is assigned, click View Users in Selected Profiles.
7. Click Confirm Selections.
8. Click Done.
9. Repeat assigning users for each template to be used with the integration.
If the integration is active in your KeldairHR Applicant Tracking System, all active ADP New Hire Templates that have been assigned User(s) in the Marketplace Data Connector are ready to send new hire information to ADP Workforce Now® after making a hire.
Note:
- Any practitioner user who needs to participate in the hiring flow by delegation or workflow needs to be in the Assign Users section within ADP Workforce Now before any applicants are posted through the custom template. While configuring a new template, the Assign Users section can be seen as a tab on the left-hand side. After clicking Assign Users, you can see View Users in Selected Profiles. The Client Practitioner name should be populated in this list.
- After the template is configured, permissions cannot be retroactively assigned to previously posted applicants.
- All templates the ADP client wants to use will need to have this Marketplace user added. See step 6 in the procedure above.
Sending new hire information to ADP Workforce Now®
When the integration is fully active and a candidate is hired in your hiring system, members of the hiring team can choose to transfer the new-hire data to your ADP Workforce Now® account immediately or in the future by selecting "not at this time."
Follow these steps to transfer new-hire data to ADP Workforce Now:
- Hire an applicant by clicking Hire in their applicant file and either choose to notify the job applicant of your hiring decision by sending the new hire message or hire without sending the email.
- Select the best option to transfer the new-hire data:
- To immediately transfer the new-hire’s data to your payroll system, select “Yes, send information to ADP”.
- Select the Template Code and Payroll Group Code from the drop-downs.
- To confirm, click Yes, send information to ADP.
- To return at a later time to initiate the transfer of the information, select “No, not at this time.”
- To immediately transfer the new-hire’s data to your payroll system, select “Yes, send information to ADP”.
If you selected "Yes" to the information transfer, a stream entry will be made in the applicant file indicating transmission success and noting the user, date, and time. The new hire information will then appear in ADP Workforce Now®’s payroll system. View the information in ADP Workforce Now by going to: “Process - Hire/Rehire Go To Hire - In Progress Hires”
