Within Onboarding, you can create a web form with an acknowledgement question that will collect confirmation that New Hires were provided with, and agree to, information from your organization. When Onboarding forms are sent to the New Hire the attachments will prompt New Hires to download the file for their records and consent that it was received.
Creating an Acknowledgement Question
In Onboarding, users with permission to make Onboarding forms can create web forms with Acknowledgement questions. Follow these steps to create an Acknowledgement question.
- From within your hiring system, open your user settings by clicking on your name in the upper right corner and select Onboarding.
- When Onboarding opens, click Onboarding Forms from the menu.
- Click +NEW and then select Create new web form from the drop-down.
- Enter the Form Name, which will be visible to new hires.
- Add an optional description or set of instructions in the Section Intro text box, which will be displayed to the new hire.
- Enter your question in the space provided and select the Question Type of Acknowledge from the drop-down.
- Click Add Attachment to include the file that must be acknowledged by the New Hire.
- Include additional files by clicking Add Attachment and repeating the process.
- In the textbox, enter acknowledgement language, such as "I agree" or "I acknowledge I have read..." which will be the terms New Hires will agree to.
- Include additional questions by clicking ADD QUESTION, entering your onboarding questions in the space provided and selecting the Question Type from the dropdown (Acknowledge, File Upload, Multiple Choice, Text, Yes/No). Follow the system prompts for each particular question type, such as setting up the multiple choice answers.
- For multiple questions, use the arrows to drag and drop the question to move it to a different location on the form. The questions will appear to the new hire in the order shown here.
- Remove unwanted questions by clicking the red X.
- Click SAVE to complete the web form which will be added to your forms library with the type set as Standard.
When added to the New Hire's Onboarding checklist, the Acknowledgement question allows hires to download the attached document(s) that you need them to read, review, and retain. Before proceeding hires must use the checkbox consenting to the terms.
- New Hire will read the question, download attachment(s), and answer the acknowledgement question by checking the box.
- To complete the question, new hires must agree to the terms, such as acknowledging "I agree I read the attached document" by providing a check mark
Viewing an Acknowledgement Question in a New Hire File
Completed Acknowledgement questions confirming New Hires were provided with, and agreed to, information they have been provided by the organization, can be viewed from the New Hire File.
